Step By Step Instructions

Step 1: Go to the Transactions Section in Stripe

  1. Log in to your Stripe dashboard.

  2. In the left-hand menu, select Transactions.

Step 2: Prepare Your Export

  1. Click Export in the top-right corner.

  2. Choose the date range. For example, select the previous month if that is what you are analysing.

  3. Under Columns, open the dropdown and choose Custom.

Step 3: Select the Data Fields You Need

In the Payment Details section, select:

  • ID

  • Created date

  • Amount

  • Amount refunded

  • Description

  • Fee

  • Status

Scroll down to the Connect section and select:

  • Application fee

The application fee is the amount paid to Book That In. If you are part of a franchise using Book That In to collect franchise fees, this value will include both the Book That In fee and the franchisor fee.

Step 4: Export the File

  1. Click Export.

  2. Stripe will generate a CSV spreadsheet. Download and open the file.

Step 5: Clean Up the Data

  1. In your spreadsheet software, apply a filter to the top row.

  2. Filter by Status.

  3. Select all entries marked failed and delete those rows. You do not pay fees on failed payments, so they are not needed in your analysis.

  4. Remove any unnecessary columns to keep your file tidy.

Step 6: Identify Key Columns

You should now clearly see:

  • Amount paid

  • Refund amount

  • Fee amount (combined Stripe and Book That In fees)

  • Application fee (Book That In fee only, plus any franchise fees if applicable)

Step 7: Calculate the Stripe Fee

  1. Insert a new column labelled Stripe Fee.

  2. In the first cell, enter the formula:

    = [Fee amount] - [Application fee] 

    For example:
    =D2 - E2

  3. Press Enter.

  4. Drag the fill handle down the column to apply the formula to all rows.

  5. You now have a clear breakdown of Stripe fees versus Book That In fees.

Step 8: Consider Refunds

Refunds typically do not generate refunded fees. However, if you are calculating net income, use the Amount refunded column to subtract from the Amount paid column.
