When your classes or events are full, Book That In will automatically stop accepting bookings to ensure your events do not go over capacity.
At this point, your customers will automatically be shown the option to join your Waiting List.
You can determine what information you collect when people join your waiting list by setting some 'Waiting List Fields' How to add a bespoke waiting list form to your Book That In account and ask for extra information.
As the business owner, you can then:
Notify people on your waiting list by email through Book That In when spaces come available.
Remove people from the waiting list
Export your waiting list to notify them by some other means
This video explains how you can do these things:
Step 1: Access the Waiting List
Go to Business → Group Overview.
Find the class or event in question.
If there’s a waiting list, you’ll see a Notify Waiting List button.
Click this to view all customers currently waiting.
Step 2: Manage Your Waiting List
Each person on the list is shown with their name and email address.
From here, you can:
Delete old entries by clicking the trash/delete icon.
Useful if someone joined years ago and is unlikely to book.
Remember: Customers can also remove themselves from their waiting list via their account.
Step 3: Notify the Waiting List
Use the dropdown menu to select which class or event you want to promote.
This must be a class that currently has spaces available.
Choose who to notify:
All customers on the waiting list.
A specific group (e.g. those who signed up for a certain type of event).
Individual customers only.
(Optional) Edit the notification email:
Click Edit Here to view or adjust the template.
Changes will affect all future waiting list emails until you update it again.
Click Send.
You’ll see a confirmation message: Notification emails sent.
💡 The email customers receive includes a direct booking link to reserve their spot right away.
Step 4: Other Ways to View Waiting Lists
From the Actions Dropdown:
If a waiting list is tied to a specific date block, you can view and manage it there.
From My Clients → Export:
Choose the Waiting List Export option.
Download an Excel spreadsheet showing:
Which waiting list each customer is on.
When they joined.
Their contact details.
This is useful if you’d prefer to reach out directly via your own email system.
Conclusion
The waiting list tool in BookThatIn helps you keep classes full and customers engaged. You can easily remove old entries, notify customers about openings, and export data for follow-up.
