How to take your Franchisor Fee automatically from franchisees in Book That In

As a Franchisor, you will need to take your franchise management fee from your franchisees.
At month end, it can be a long and arduous task to total up all the fees due, and to then invoice and possibly even chase for payment.
No longer!
With Book That In, you can automatically take payment from your Franchisees at source, when each booking is processed.
You can take your Franchisor Fee as a percentage of your franchisee's revenue, or as a fixed fee per booking - or both.
This works for all booking types: Classes, Events, Appointments and Subscriptions.
From your Franchise Report, you can see exactly what revenue your franchisees have taken in any given month and you can see what Franchise Fees you have taken as well. This makes it super quick and easy to raise an invoice at the end of each month for your fees.
NB. The invoice is for your franchisee's records only, as you will have already collected the funds at the time of booking automatically.
Step 1: Access the Franchise Report
Go to Business → Company Settings.
On the left-hand side, you’ll see all companies linked to your account (your franchisees).
On your main franchisor account, you’ll also see a Franchise Report button.
Click it to open a table showing:
Revenue: total revenue taken by the franchisee.
Refunds: amounts refunded.
Balance: revenue minus refunds.
Total Bookings: number of bookings taken.
Franchise Fee: your share (if set up).
Step 2: Set Up a Franchise Fee
In the report, click Actions → Manage next to a franchisee.
Select Add Another Fee Type.
Enter your fee amount:
Percentage (e.g., 10% of each booking).
Fixed Fee (e.g., £5 per booking).
Click Save.
⚠️ Note:
If a franchisee shares their Stripe account with another BookThatIn account, automatic fees won’t work with subscriptions. In this case, they’ll need a separate Stripe account or you’ll need to handle subscription fees manually.
Step 3: Collecting Franchise Fees
Fees are deducted automatically each time a franchisee takes a booking.
The fee is transferred directly to your Stripe account with no extra Stripe charges.
Fees cannot be collected retroactively — only for future bookings.
Step 4: Monthly Reporting & Invoicing
Use the month filter in the Franchise Report to view totals for a specific period.
At the end of the month, check the total fees collected.
Use this figure to raise an invoice for your franchisee’s accounting records.
