1. An Introduction to Price Bands on Book That In:
Step-by-Step Instructions
Step 1: Understand the Automatic Calculator
When you create a new class or event, the system asks whether you’d like to use the automatic calculator or price bands.
With the automatic calculator:
You set a price per session.
The system calculates the total cost of a block automatically.
Example: A four-week sewing course priced at £12 per session gives a total of £48 for the block.
Booking options are limited. Attendees can either book the trial or the full block, but cannot mix in drop-in sessions or purchase additional tickets in one go.
Step 2: Learn What Price Bands Can Do
Price bands allow you to create multiple ticketing options for a single event.
Example: A yoga class might offer:
A free trial.
A drop-in session for £6.
A block booking at £5 per session (automatically calculated as £20 for four sessions).
Customers can choose the option that suits them best, making your event more flexible and appealing.
Step 3: Add Extras to Bookings
With price bands, you can also offer extras such as:
Sibling places – If a parent books a drop-in, they can add siblings for the same session. Each sibling takes up a space in your class capacity and is added to the register.
Products – For example, t-shirts, mugs, or other upsells. Products are charged at checkout but do not affect attendance registers.
These extras provide more value for customers while helping you increase revenue.
Step 4: Complete the Booking Process
After selecting their ticket option and any extras, the customer continues to the booking form.
If multiple participants are booked (e.g., siblings), the system collects details for each attendee.
This ensures that all participants are properly registered and counted in class capacity.
Conclusion
Price bands are a powerful alternative to the automatic calculator, giving you more control over ticketing and offering customers greater flexibility. Whether you want to provide free trials, affordable drop-ins, full block bookings, or upsell products, price bands make your events more adaptable and appealing.
2. Price Bands - The Basics
It's important to understand how Price Bands work on Book That In, in order to make the most out of them.
Price Bands are the booking options that your customers can choose when booking a class or event. They are, in essence, your ticket options.
However, they are separate from your classes and events.
This means you can use the same Price Band on multiple events/classes, and you only need to edit the Price Band once for it to update on ALL the events and classes that use it. This can save you a lot of time.

Step-by-Step Instructions
Step 1: Recognise the Default Auto Calculator
If you don’t use price bands, your class will automatically use the auto calculator.
With this option:
You set a price per session.
The system works out the total cost based on how many sessions remain.
Example: If there are four sessions left at £10 per session, the system shows £40 as the booking cost.
Customers can only book one person at a time, for all remaining sessions in the block.
When they click Book, they go straight to the booking form without seeing extra ticket options.
This works best if your event is simple and doesn’t need multiple booking choices.
Step 2: Understand What Price Bands Offer
If you want more complex options, price bands are the solution.
With price bands you can:
Offer multiple booking types (e.g., a single session, a full block, or a five-class pass).
Allow customers to book more than one person at a time.
Add extras such as merchandise (like t-shirts).
When a class uses price bands, customers see an intermediary screen after clicking Book, where they choose which ticket option to purchase.
This gives your customers flexibility while giving you control over pricing and extras.
Step 3: Learn How Price Bands Are Managed
Price bands are created separately from your classes and events.
To manage them:
Go to Company Settings > Price Bands.
From here, you can see all your price bands and extras.
You can edit or create new ones.
Simply creating a price band does not automatically apply it to a class or event. You must link them.
Step 4: Link Price Bands to a Class or Event
To link a price band:
Go to the Group Overview.
Find the class or event you want to edit.
Click Options > Price.
Here, you’ll see which price bands (if any) are linked.
From this screen, you can:
Add existing price bands to the class.
Create new price bands directly.
Once linked, customers will see those options when booking.
Conclusion
Price bands give you far more flexibility than the auto calculator. They allow you to offer single sessions, block bookings, multi-person tickets, or even extras like merchandise. While the auto calculator is useful for straightforward bookings, price bands are ideal if you want to give customers choices and improve your ticketing options.
