How to create a Price Band for a full block or term using the auto calculator

Price Bands allow greater flexibility with your booking options.

This video tutorial shows you how to create a Price Band that books your customer in for all remaining sessions in a block or term of sessions, and the system automatically calculates the correct cost for the booking:

Steps to Create an Auto-Calculate Price Band

Step 1: Go to Your Group Overview

  1. Log in to BookThatIn.

  2. Go to Business > Group Overview.

  3. Find the class or course you want to edit (e.g. Monday Music Class).

Step 2: Create a Price Band

  1. Click Options > Price Bands.

  2. Select Create Price Band.

  3. Fill in the details:

    • Name: e.g. Full Term or Full Block.

    • Description: e.g. Books you into the full block, or the remaining sessions if the block has already started.

Step 3: Select Auto Calculator

When asked to choose between Fixed Number of Sessions and Auto Calculator:

  • Select Auto Calculator.

  • This ensures the system automatically adjusts the cost based on how many sessions are left in the block.

Step 4: Configure the Details

  1. Number of Attendees: Set this to 1 (or more if you want the ticket to cover multiple people).

    • Note: each attendee counts towards your class capacity.

    • The booking form will also collect participant details for each attendee.

  2. Cost per Session: Enter your price per session (e.g. £10).

    • The system will multiply this by the number of remaining sessions to generate the total cost.

Step 5: Save and Test

  1. Click Create.

  2. Return to your booking page and refresh.

  3. When customers click Book, they will see your new price band option (e.g. Full Term – £70 if there are 7 sessions left).

Conclusion

You’ve now created an auto-calculate price band. Customers booking your classes will be charged the correct price for however many sessions remain in the block, keeping your pricing clear and automatic.
