Whilst you can send emails to your clients through Book That In, Book That In is not an email marketing platform.

The emails you send from Book That In are intended for transactional purposes, rather than marketing.

If you are looking at keeping your clients engaged through email, by sending updates, or even announcing special events or promotions, and/or you want to create fancy email designs, then you will probably want to use a 3rd party email marketing platform.

Popular email applications include MailChimp and Mailerlite, but many others are available! However, to use any of them you first need to import your contacts into it from your Book That In account. 

This video tutorial will guide you through the process of exporting your clients' contact information from Book That In so you can import them into a 3rd party app:

Step-by-Step Instructions:

Step 1: Access the All Contacts Report

  • Navigate to the client area by clicking on the "Clients" button. This can also be accessed through the "Business" dropdown menu.

Step 2: Exporting Contacts

  • Locate and click on the "Export" link located in the top right-hand corner of the interface.
  • Choose the "All Contacts" option from the list of export choices. Wait a moment for the system to generate the file, which will be an Excel format download.

Step 3: Opening and Reviewing the Exported File

  • Save the downloaded file to your computer and open it. You will see a row for each customer who has booked with you, along with various pieces of information about each booking.

Step 4: Adding Filters to the Exported Data

  • In your spreadsheet program, click on any cell in the first row, then navigate to the "Data" menu and select the "Filter" option. This action applies a filter to every column, enabling you to easily sift through the data.
  • Use the filter to display only the contacts who have booked since your last export. Adjust the filter settings based on the date of your last export to isolate new bookings.

Step 5: Preparing Data for Import into Another Application

  • Identify the columns that are relevant to your needs, which might include email addresses, names, booking dates, total spend, and opt-in status, among others.
  • For email marketing or CRM import, you may want to focus on columns like email address, first name, last name, and any other relevant information such as booking date or total number of bookings.
  • If there are columns you do not need, you can delete them to simplify your dataset.

Step 6: Importing the Data into Your Chosen Platform

  • Once you have prepared your data, you can import it into your chosen email marketing app or CRM. This process will vary depending on the platform you're using but typically involves uploading the CSV or Excel file and mapping the data fields appropriately.

Additional Tips:

  • Pay attention to the email opt-in status to ensure compliance with email marketing regulations. Do not import contacts who have opted out of receiving emails.
  • Consider segmenting your database based on the information available in the export, such as location or booking type, to tailor your marketing efforts more effectively.
