In this tutorial, you’ll learn how to easily migrate your current subscribers from the old (standard) subscription booking option to the new subscription price band feature. What's the difference?


This allows you to seamlessly move your subscriptions over to a register in the Group Overview without requiring your customers to sign up again, avoiding unnecessary friction and administrative workload.

Step-by-Step Instructions

Step 1: Go to the Group Overview

  • Navigate to your Group Overview dashboard.

  • Ensure you've already created a class you'd like to associate your subscribers with.

Step 2: Create a New Subscription Price Band

  • Click on Options next to your chosen class.

  • Select Price Bands from the dropdown menu.

  • Click on Create Price Band.

Step 3: Configure the New Price Band

  • Give your new price band a clear name.

  • Provide a description clearly explaining the subscription terms to your customers.

    Example description:

    "Sign up to this option to spread your payments into monthly installments. One-month cancellation period. First month's fees will be prorated based on remaining classes."

  • Scroll down and select Subscription.

Step 4: Import Existing Subscribers

  • On the Subscription Details tab, locate the option labeled Copy from.

  • Click to view available subscriptions to link from your existing subscriptions.

  • Select the subscription you want to migrate subscribers from.
    (Note: Each old subscription can only be linked once to prevent duplication.)

  • After selecting, a prompt will appear, asking if you want to Transfer all subscribers.

    • Make sure this is ticked if you intend to move your subscribers.

    • Uncheck this if you're only copying settings without subscribers.

Step 5: Link to the Specific Class

  • Choose the specific class you want to link your subscribers to.
    (Important: Selecting the correct class is crucial to successfully importing subscribers.)

  • Note that the existing subscription details (cost and frequency) are imported automatically. You cannot edit these at this stage.
    (If you need to adjust pricing, do this beforehand.)

Step 6: Adjust Payment Settings

  • Choose your payment options under Delay/Pro-rata First Payment.
    Recommended: select Pro-rata first payment to set recurring payments to start on the first day of the next billing period.

  • Input the Cost per session, where appropriate
    (This calculates how much to charge based on remaining sessions in the current month.)

  • Set Cancellation Notice Period to your preference. (Example: 1 month notice)

  • Optionally set a Minimum Subscription Period, if desired.

Step 7: Create and Complete the Transfer

  • Click Create to finalise and transfer your subscribers.

  • Click Done to return to the Group Overview.


Managing Subscribers After Migration

  • From the Group Overview, you’ll see your current attendees listed clearly on the attendance register.

  • Click on the circular arrow icon (subscriptions management icon) to view all subscribers.

    • Here you can:

      • Check subscriber activity and payment status.

      • Pause or cancel subscriptions as necessary.


Additional Considerations

  • If you have multiple subscription prices (e.g., siblings at discounted rates), repeat the import steps for each price point.

  • After importing, remove any redundant old subscriptions to prevent confusion.

  • If you offer sibling discounts, consider adding siblings as an "Extra" in your price band settings rather than creating separate subscriptions.
