Can I add notes for a customer to an Attendance Register in Book That In?

Sometimes you may want to add notes to a customer record.

This might be so that you can see them on your attendance register at the start of a class or event.

You can do this by creating a extra Custom Field on your account and adding the note via the Client area.

Note: For GDPR reasons, your customer will be able to see the notes you make from their own account, should they wish to do so.

Here is a video tutorial that explains how you can add notes to a customer's records:

Step 1: Create a Notes Field

  1. Log in to BookThatIn.

  2. Go to Business > Company Settings.

  3. Click Edit (top right).

  4. Skip to the Custom Fields section.

  5. Click Add a new field.

    • Name it Notes.

    • Leave it non-mandatory.

    • Make sure it is not a waiting list field.

    • Set it to Participant level.

    • Archive it immediately (so customers can’t add their own notes).

  6. Click Save.


Step 2: Add Notes for an Attendee

  1. Go to Group Overview and open the class.

  2. Click the Attendance Register – you’ll now see the Notes field (empty for now).

  3. To add a note:

    • Open the attendee’s record via View Client.

    • Go to the Bookings tab.

    • Find the booking and locate the Notes field.

    • Enter your note and click Update.


Step 3: View and Export Notes

  • Back on the Attendance Register, the Notes column will now display your entry.

  • If you export the attendance register, the Notes column will also appear in the downloaded file.
