The basket should allow for: Multiple bookings across different classes/events to be booked and paid for at once Discounts to be applied in certain situations (to be set up by business owner) - e.g. 2+ bookings = 10% discount

The client record should have a new section added to it for ‘Emails’ All emails sent to each contact should be recorded here, with date sent, subject and email content. This allows the business owner to check what emails have gone out to a particular customer and when.

Allow business owners to set a capacity on Price Bands and Extras

At present, capacity is set per session. All Price Bands that can be honoured are displayed until the session capacity is hit. Sometimes, certain Price Bands/Ticket Options have limited availability. e.g. 3 Drop Ins per session. This feature would allow a capacity to be set for that price band so it will no longer be offered when the Price Band capacity is hit for that session - even if the overall capacity still has space. In a similar way, Extras sometimes need a capacity, especially for products if a business only has a limited number of products to sell. The capacity for Price Bands and Attendee Extras would be limited per Class/Event - so if a Price Band had a capacity of 3 and was linked to multiple Classes/Events, then it would be possible to book up to 3 participants on each linked event. Product Extras however, might be the same and be limited per class/event, OR they may have a ‘global’ capacity (e.g. there are only 10 products in stock, so there are only 10 available across ALL events/classes. Product Extras would need the option to: a) Set this Capacity per class/event, or b) Set this Capacity across all events

Book That in would alert the business owner when a customer begins the booking process, but doesn’t checkout. Optionally, it could send an automated email to the customer (template to be editable by the business owner) 20 minutes after booking process started, if it was not completed.

Allow refunds for subscriptions without cancelling the subscription

At the moment, it is possible to refund a subscription payment only when you are cancelling the subscription itself. It would be handy to be able to process refunds for subscriptions directly within Book That In. This might happen when a single class is cancelled, and customers need to be refunded.

We use the booking system for adult events as well as children’s events. We would love to have a ‘Checkout as a Guest’ option (no need to make an account.) Feedback is telling us that some people, especially older adults seem to be getting worried / confused /put off by having to make an account and answer lots of questions.

Give option to calculate final payment for cancelled subscriptions using number of sessions before end of notice period

Summary: Introduce an option to calculate the final payment for cancelled subscriptions based on the number of sessions remaining within the notice period, rather than a pro-rata percentage of time. Current Behaviour: When a subscription is cancelled with a notice period of 1 month or more, the system always generates a final payment. This payment is taken on the next billing date (typically the 1st of the month). The amount is calculated as a pro-rata percentage of the normal subscription amount, based on the remaining time in the notice period. Example: If cancelled on 10th April, the subscription ends on 10th May. The final payment on 1st May is ~1/3 (10 days’ worth) of the monthly fee. Requested Behaviour: Add a configurable option to calculate the final payment based on the number of scheduled sessions within the notice period instead of time. The system should: Identify all sessions occurring between the next billing date and the end of the notice period. Calculate the final payment based only on those sessions. Example Scenario: Cancellation date: 10th April Notice period ends: 10th May If there are no sessions scheduled in early May (e.g. due to holidays), then: No sessions fall within the final billing period Final payment on 1st May = £0 Expected Outcome: Users can choose between: Time-based pro-rata calculation (current behaviour) Session-based calculation (new option) This provides more accurate billing for businesses with irregular schedules (e.g. school term breaks).

Allow users to set a fixed number of payments on subscriptions

Summary Allow admins to create a subscription-style payment option that automatically stops after a fixed number of payments, rather than continuing indefinitely. Use Case Some course providers offer customers the option to pay for a course in instalments, for example 2, 3, or 4 monthly payments. Currently, this is often managed manually: the customer pays an initial amount when booking, then the provider charges the balance payment(s) later manually. This can create extra admin. A fixed-payment subscription would allow providers to offer instalment plans where payments are collected automatically, reducing manual follow-up and helping customers spread the cost without needing an external “buy now, pay later” provider. Proposed Functionality When setting up a subscription payment option, allow the admin to enter a Number of Payments. For example: 2 payments of £150 3 payments of £100 4 payments of £75 The subscription should automatically cancel or stop after the selected number of payments has been collected. Requirements Admin can choose the number of payments/instalments. Payments are taken automatically at the subscription interval. Subscription automatically ends after the final payment. All instalments are the same amount. Existing ongoing subscriptions should remain the default.

Auto Re-enrolment – Include Late Bookings Automatically

Problem Auto re-enrolment is a hugely valuable feature, as it flips renewals from opt-in to opt-out, reduces admin, and eliminates payment chasing. However, auto re-enrolment currently only applies to customers who are booked onto the current or previous term at the moment the new term is created. Any customers who book after that point are excluded from auto re-enrolment, even if they are attending the same classes. This creates a bit of friction for some businesses, as they are incentivised to delay creating new terms until the very last moment to ensure everyone is captured. This is manageable for term-based businesses with natural breaks, but causes real issues for businesses using auto re-enrolment for rolling or monthly payments. For example, one client wants to charge on the 1st of the month while giving customers a week to opt out, but cannot do this reliably if classes run up to the 31st, forcing late charges and unnecessary complexity. Proposed Solution Add an option for auto re-enrolment to dynamically include any new bookings made into the current/previous term, after re-enrolment has been set up. This would allow businesses to create new terms earlier, confidently capture all eligible customers, and run cleaner renewal and payment cycles. This enhancement would make auto re-enrolment significantly more powerful for monthly and rolling payment models, while preserving its simplicity and time-saving benefits for term-based providers.

Automatically email customers without cards on their account during Auto Re-enrolment

At the moment, if a customer doesn’t have a card on their Book That In account, the business owner needs to send out an email to that customer when they are using Auto Re-enrolment to either ask them to book on, or add a card to their account. This feature request would be to trigger an email to these customers at the same time as the regular auto re-enrolment emails are sent out, with a link that allows them to book onto the class. This would also add a card to their account, so they can be auto re-enrolled in future.

Multi-Line Text Booking Questions have several blank spaces in the answer

When a multi-line booking question appears on the booking form, there are several blank spaces pre-populated as the answer. This means the booker either has to delete all the blank spaces first, or they enter their answer after the blank spaces, which can make it hard to read their answer on the register.

Typing in a date in a date field isn't recognised correctly by the system

When a Date field is used on a booking form, if someone decides to type in the date instead of using the pop up date selection tool, the field struggles to recognise the input. e.g. if you type 15/12/2015, then the field is automatically updated to 15-Jan-0012. A couple of solutions are possible here: (Preferred) Interpret typed entries correctly Don't allow typed entries - force people to use the date selection tool to ensure correct dates are entered

Incorrect Session Times Displayed When Booking Multiple Mixed-Time Sessions

When booking multiple sessions of the same event that have different start and end times, the booking form incorrectly displays a combined time range (earliest start to latest end) for each session on the booking form, instead of showing the correct individual session times.

Cancel subscriptions in line with Minimum Subscription period when an account is deleted

When a customer deletes their account, their subscription currently cancels immediately, applying any cancellation notice period that has been set on the subscription. For businesses, this currently means there is a loophole for customers to avoid a minimum subscription period, if you have one in place. It would be really helpful if deleting an account triggered subscription cancellation in line with any applicable minimum subscription period - meaning the subscription would end at the later of: the minimum subscription period, or the cancellation notice period This would ensure businesses are still protected and paid correctly, even if a customer chooses to delete their account. It would also be important to update the warning message shown at the point of account deletion, so customers clearly understand that their subscription will continue until the end of the applicable period.

Make booking links clearer and add easy access to Category booking links

Right now, the Booking Links button in Company Settings only creates links for individual locations, which isn’t obvious from the label. It would be really helpful if: The existing option was clearly labelled as a Location Booking Link, and There was an easy way to generate a Category Booking Link as well. At the moment, it’s not clear that Category booking pages even exist, and there’s no straightforward way to create a shareable link to them. This makes it harder to guide customers to the right booking page—especially when services are grouped by category rather than location. The exact UI approach is flexible, but the goal is to: Make the difference between Location and Category booking links clear Allow customers to easily generate and share Category booking links This would make booking links more discoverable and much easier to use.

When using Auto Re-enrolment, allow business owner to open class for new bookings alongside pending renewals.

Make it possible to have bookings open on the widget alongside having pending auto-renewals. Over the summer, we weren't able to book new customers onto our sessions via the booking system because they were showing as waiting list only due to us not processing the auto-renewals until the start of term. We need to be able to have customers in the auto-renewal process alongside taking new bookings on the system.

Clicking on the 'Copy Link' button for the booking links on the Company Settings screen for either Category or Location booking links doesn't actually copy the URL to the clipboard on iphone. It is fine on Android.

Save screen placement in widget when booking

Due to browser or device settings, some customers are being sent back to the beginning of the booking process after authenticating their card details. This happens when the customer’s device or browser forces a refresh on the browser window when it is opened again, after authenticating their card in the banking app. It isn’t common, affecting less than 0.5% of bookings, but it’s something we want to fix to prevent people experiencing any issues when booking. By storing the point in the widget, the customer should be returned to the correct point in their booking journey, if their device forces a window refresh.

When the number of Group Event Types and dates/terms on an account gets extremely large, it can take a while to load the next screen when you click the ‘Create Group Event’ button on the Group Overview. This request is to speed up this loading time.

Error messages don't show to users entering incorrect password on widget

When logging in via the Book That In widget, entering an incorrect password does not display an error message. The login attempt appears to hang with no feedback, leaving users unsure what has happened. This issue does not occur on the main Book That In website - it is only happening on the widget.

It's great that images can be easily uploaded to class types and class terms, however, it would be beneficial to be able to add images to categories as well, so that they appear on the ‘Select a Category’ screen.

At the moment, Categories can only be created when creating or editing Group Event Types in the Group Overview. It would be easier in many cases to be able to add them on the Booking Categories tab in the Company Settings area.
