On Book That In, a Group Event is a class or event that you are running, which multiple people can book.


There are 2 main ways to add a new event or class:

  1. Add a new Group Event Type, with the date or date block
    This would be for a new type of class, or the same class but at a new location.

  2. Add a new date or date block to an existing Group Event Type.
    This would be for renewing a class term or creating a new date for an existing type of event.


If you want to give create a new block and give existing customers a priority booking window, this tutorial walks you through that situation.


1. Add a new Group Event Type, with the date or date block

If you want to add a completely new type of event, then this is the option for you. This would apply if you are adding an event at a new address.

2. Add a new date or date block to an existing Type of Event or Class.

Group Events on Book That In have 2 levels: The Group Event Type and the Dates/Terms


Group Event Types are the type of event or class that you run. 

Note: Group Event Types are linked to a particular location, so if you run, say, the same type of class at 2 different locations, you will have 2 Group Event Types: Class at Location1 and Class at Location2


Dates/Terms are the date(s) that you are running that GroupEvent Type.

You can have multiple dates/terms linked to the same Group Event Type. This means you only have to create on Group Event Type for each type of event or class that you run, and you can add as many dates or terms to these as you want.


a) Class Terms or Blocks

When adding the Dates/Terms, you can add a series of dates (e.g. a term or block) by setting the number of sessions to equal the number of sessions in your term, and then choosing from a Weekly or Monthly frequency. Customers can then book all of the dates in the series in one go. 

You can use Book That In's automatic cost calculator and the system will charge your customer the correct amount for the number of sessions left in the block at the time of booking.


Note: If you want your customers to pick and choose which dates they attend in your block, you can use Price Bands to offer this option. 


b) One Off Events

For one off events, you can set up an individual event date by setting the number of sessions to 1.


You can then set the cost of the event as the same for everyone, or if you want to offer different ticket options (e.g. buy a block of 1, 3, or 6 sessions; or a ticket for more than one person such as a Family Ticket, you will need to use Price Bands.


You can add all the different dates that you are running this Event Type and they will all be linked to the same Event Type. This saves you time and make it easier for customers to find the event they want to book.
