In this tutorial, you will learn how to utilise the 'Update Booking' function, a tool useful for when a customer requests changes to their existing booking, such as adding or removing dates. 


This process can be essential for maintaining accurate schedules and ensuring customer satisfaction without the need to shift them to different classes or events.




Step By Step Instructions:


Updating a Booking to Add More Classes

  1. Access the Booking :
    • Locate the booking you need to update on your class or event register.
    • Click on the blue arrow next to the booking to access your options for this booking.
    • Click on "Update Booking". 

2. Add Additional Dates or Remove Dates:

  • This will display all the dates for the event or class in question, with the dates for which the customer is booked being highlighted.
  • Select the additional dates you want to add to the booking by clicking on those dates, or deselect the already highlighted dates to remove them from the booking.

3. Choose the Update Option:

  • Click "Next" to proceed to the update options.
  • Choose either:
    • "Update"
    • "Update and Charge" if additional fees apply for the new dates and enter the amount to be charged.
    • "Update and Refund" if you wish to send a refund to the customer, and enter the amount to be refunded (without exceeding the original amount paid, which will be displayed).

4. Confirm if you wish to send Email:

  • You will probably need to send an email confirmation to the customer: Tick the 'Send Email' box to send an automated email from the system to confirm the update and charge/refund.

5. Finalise the Update:

  • Click "Complete" to finalise the booking update. This updates the system and secures the customer’s spot on the newly added dates.
    • If the payment requires authorisation, the booking will be updated and the customer will be sent an email with a link to authorise the payment.

6. The Register will Display the Updated Booking

  • Allow the system a moment to refresh. It will then display the updated booking, showing that the dates have now been freed up or booked.
