How to Change Subscription Prices in Bulk When Using Subscription Price Bands

This tutorial explains how to update subscription prices for multiple users at once by using price bands.

It is particularly useful if you need to temporarily adjust pricing, such as offering a reduced rate for a month with fewer classes, and then revert back to the original price afterwards.

This method works for single subscriptions that are not linked as siblings. You will create a new price band, move subscribers to it, and later transfer them back.

Step-by-Step Instructions

Step 1: Identify the Relevant Subscribers

  1. Open your class or group (for example, a specific session like “Wednesdays at 9am”).

  2. View the attendance or subscriber list.

  3. Use the column filter to display the Price Band.

  4. Identify the name of the subscription price band you want to change.

Step 2: Create a New Price Band

  1. Go to the Group Overview and find the class your subscribers are on

  2. Select OptionsPrice Bands.

  3. Click to create a new price band.

  4. Give it a clear NEW name, for easy identification in a later step.

  5. Enter the updated pricing for the subscription.

  6. Match the structure of the original price band:

    • e.g. If the original was pro rata, set the new one as pro rata; add cancellation notice period to match the ‘old’ price band.

  7. Click Create.

Step 3: Access the Subscriptions Area

  1. Go to the Business Menu.

  2. Select Subscriptions.

  3. Find the current price band by its name.

  4. Click on the name, then on ‘View Subscribers’ to view all subscribers.

Note: You may see more subscribers than expected if the same price band is used across multiple classes.

Step 4: Transfer Subscribers to the New Price Band

Option A: Transfer Individually

  1. Locate the subscriber you want to move.

  2. Click the Transfer icon (two arrows).

  3. Choose the new price band from the dropdown list.

  4. Configure options:

    • Prorata next payment: Leave unchecked if you want full monthly charges for each month. Select if you want the rest of the current month to be pro rated at the new rate in the next payment (this may reduce or increase the next payment depending on the rate change).

    • Send transfer email: Optional, depending on whether you want to notify users.

  5. Click Transfer.

  6. Repeat for each subscriber.

Option B: Transfer All Subscribers at Once

  1. Click Transfer All at the top of the list.

  2. Select the new price band.

  3. Leave pro rata and email options as needed, as above.

  4. Click Transfer.

All selected subscribers will now be moved to the new pricing.

Step 5: Confirm the Change

  1. Open the new price band in the subscriptions area.

  2. Check that the correct subscribers have been moved.

  3. The new pricing will take effect on the next billing date.

Step 6: Move Subscribers Back After the Discount Period

  1. After the discounted month has been charged (for example, on the 1st of the month), return to the Subscriptions area.

  2. Open the temporary new price band.

  3. Use Transfer All (or individual transfers) to move subscribers back to the original price band.

  4. Ensure this is done before the next billing cycle ends.

Step 7: Important Notes

  • Changes made through transfers will not update the price band shown in the class subscription list view.

  • Management actions such as cancelling or pausing subscriptions can still be done from the class view.

  • All transfers must be completed through the Subscriptions area.

  • Future updates may allow transfers directly from the subscriber list, but this is not currently available.

By following this process, you can efficiently manage temporary pricing changes across multiple subscribers without manually editing each subscription.
