How to move a trial booking to a different date

When a customer books a trial with you, the date of the trial defaults to the next available date in your term/course.

This will be fine in the majority of cases, but occasionally you may want to move the date of the trial. This might happen because your customer misses the trial date but still wants to come along the following week, or just because they can't make the next date and want to pick another.

If this happens, you can move a trial booking to any other date in a term or block.

Step by Step Instructions

  1. Go to the Group Overview
    Log in to your Book That In account and navigate to your Group Overview. Find the class that contains the trial booking you want to move.

  2. Open the Class Register
    Locate the class in the list and click on the register icon. This is the icon with the small group of people.

  3. Identify the Trial Booking
    In the register, trial bookings are clearly labelled with the word “Trial” above the Yes/No attendance toggle for the correct date.

    If you select the option to show all dates, you will be able to find the correct date easily.

  4. Choose Update Booking
    Next to the customer’s name, click the small blue arrow to open the dropdown menu.
    Choose “Update booking”.

  5. Change the Trial Date
    You will now see all dates in the block, with the current trial date highlighted.

    Click the highlighted date to deselect it, then click the new date you want to move the trial to.

  6. Confirm the Update
    Click “Next” to continue.
    You can choose to send a confirmation email to the customer by ticking the “Send email” option.

  7. Review Payment Options
    There is an option to charge or refund if the trial has already been paid for and the new date costs more or less. In most cases, this is not required, so you can leave this unchanged.

  8. Complete the Update
    Tick “Send email” if required, and click “Complete”.

You can move trial as many times as you wish.

TIP: You can trigger the automated 'Trial Attended' email from the attendance register on any date - it doesn't matter if the date of the booking is in the past or the future. Simply toggle the attendance to 'Yes' and click save and the email will be sent, giving them the direct link to book on for the rest of the term.
